From adding a cleaner to their first clock-in, nobody on your crew downloads anything.
- Owner: You add the cleaner. A name, a rate and a 6-digit PIN that JaniSync suggests. The PIN is shown once, then stored hashed.
- JaniSync: PIN and setup link, emailed. JaniSync emails Jordan both, and every owner gets a copy. Nobody creates an account.
- Cleaner: Jordan sets up their phone. They open the email, then janisync.com/pwa in the browser, and enter the one-time setup code. No app store.
- Cleaner: Jordan enters the PIN. Six digits are the whole login. The first time, a plain notice says when location is recorded.
- Cleaner: Jordan clocks in. Pick the site and tap once. Location is captured at that moment, and only then.
- Owner: You see it live. The shift lands on your live monitor, with the distance checked on our server.
AI reads and drafts. It never decides.
It writes what you would otherwise write at 11pm, and reads the rooms off a plan. The numbers come from arithmetic, and you check everything before it counts.
- Owner: You drop the floorplan. On the Bids page, drop a PDF, PNG or JPEG on the quick-add frame. It opens a new bid with the file already being read. The file is not kept.
- AI: AI reads the rooms off it. Each room label, and the area where the drawing prints one; otherwise the area stays blank. It counts as one of your plan’s monthly takeoffs. On a large sheet it can misread a label, so you check every room.
- Owner: You confirm every room, then name the bid. Each room arrives Unconfirmed, and a counter says how many are left. Price it stays blocked until you have checked every type and area. The area fills in from the rooms.
- JaniSync: JaniSync prices it. Industry production rates and your own cost settings. Arithmetic, not AI: the same answer every time.
- AI: AI drafts the proposal. A cover letter and scope of work from that bid, labelled as AI-written. It refuses work outside standard janitorial.
- Owner: You edit, then send it yourself. Nothing is sent from JaniSync. You copy the draft into your own email, after reading what you are promising.

Questions owners actually ask
Do my cleaners need to install an app?
No. They open a web address and enter a 6-digit PIN. No app store account, no email address, no password. It can be added to a phone’s home screen and then behaves like an app, but nothing is installed.
What happens when there is no signal in a basement?
The clock-in is queued on the device with the real time it happened, and syncs when signal returns. The recorded time is when the cleaner actually clocked in, not when the phone reconnected.
Is my team tracked all day?
No. Location is captured at exactly two moments: clock-in and clock-out. There is no background tracking. Coordinates are deleted after 90 days, cleaners are shown a disclosure before their first shift, and a failed GPS check never blocks a clock-in. It is recorded for you to review, not used to stop someone working.
Does the AI decide anyone’s pay?
No. AI drafts proposals for you to edit and send, reads room labels off a floorplan for you to confirm, and writes three talking points in the free calculator’s quote email. It never sets or changes an hour, a wage or a payroll total — those come from the timesheet and the arithmetic. Switch it off and everything else works exactly as before.
